Personal information reaches us in three distinct ways, and they are worth separating.
Visitors who try the demo. If you fill in the trial form we store the name, company name and email address you type. We use it to understand who is interested and to follow up about SafariQuote. The demo itself runs on a shared sample account with invented data — nothing you do in it is private to you, and it is wiped every night.
Tour operators with accounts. When you sign up we store your company name, contact name, email address and phone number, so we can create your account, invoice you and contact you about the service.
Travellers. Operators enter their own clients’ details — names, and sometimes email addresses, phone numbers, notes, and guest names and ages on a quote. We hold that information on the operator’s behalf. It is theirs, not ours. See section 4.
We do not collect payment card or bank credentials. Subscriptions are paid by bank transfer against an invoice, outside this application entirely.
There are no advertising trackers, no analytics scripts and no third-party marketing pixels in this application. The only cookies we set are the ones that keep you signed in.
When an operator enters a traveller’s details, that operator decides what is collected and why. We simply hold and process it so their quoting works. We do not contact travellers, market to them, sell their details, or use them for anything beyond running the service.
If you are a traveller and want to know what a tour operator holds about you, or want it corrected or deleted, please contact that operator directly — they hold the relationship and the record. If you cannot reach them, write to us and we will do what we reasonably can to help.
Operators are responsible for having a lawful basis to enter their clients’ details, and for telling their own clients how they use them.
The application enforces separation at the database level, not merely in the interface. One operator cannot read another operator’s travellers, quotes or negotiated rates — there is no screen, link or address that will show it to them, and the database itself refuses the request.
Those same rules apply to us. SafariQuote staff cannot read an operator’s travellers, quotes or negotiated rates through the application. We are honest about the limit of that statement: as the operator of the database we hold administrative credentials that can reach the underlying data, as anyone running a hosted service must in order to take backups, fix faults and keep it running. We use that access only for those purposes.
Our database and sign-in system are provided by Supabase and hosted in the European Union (Frankfurt, Germany). The website and its server functions run on Netlify. Account emails, such as invitations and password resets, are sent through Supabase.
This means information is stored outside Namibia. We chose an EU region deliberately: it sits under a strong data-protection regime, which matters given how many travellers on your quotes are European.
Demo data is deleted nightly. Trial enquiry details are kept until you ask us to remove them. Account information is kept for as long as the account is open, and for 30 days after it closes so that the operator can export their records — after that we may delete it. Invoices and payment records are kept for as long as tax and accounting rules require.
Connections are encrypted. Passwords are stored hashed by our authentication provider and are never visible to us — if you forget yours we can only send you a reset link, never tell you what it was. Access separation between operators is enforced by the database as described in section 5.
No system is perfect. If a breach ever affects your information, we will tell you promptly and tell you plainly what happened.
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it. Operators can export their own data from within the application at any time. Write to the address in section 1 and we will respond as quickly as we reasonably can.
If we change how we handle personal information, we will update this page and change the date at the top. Where a change matters to account holders, we will email them rather than rely on them noticing.
